Many solo and self-employed wellbeing practitioners avoid writing policies because they fear it’ll make them seem too formal or corporate. But clear agreements aren’t red tape, they’re respectful, professional, and protective.

Let’s talk about policies

Not the bloated corporate kind no one reads.
I mean real-world policies, the kind that live in your welcome pack or booking page. The ones that quietly say, “Here’s how this works, and here’s how I’ll look after both of us.”

A clear cancellation policy.
A line about safeguarding or contact hours.
A short, respectful agreement that sets expectations before a single session takes place.

That’s not bureaucracy. That’s boundaried care.

You don’t create a cancellation policy to punish people.
You create it so you can pay your bills if someone doesn’t show up.

You don’t set working hours because you’re rigid.
You do it so you can rest and return with your full presence.

You don’t write a safeguarding or complaints policy because something’s already gone wrong.  You do it so when it does, you’re not scrambling. You’re calm, ready, protected.

I’ve supported therapists, coaches and energy workers who avoided writing anything down for years. They didn’t want to “put people off” with policies.

But when something went wrong, a late cancellation, a tricky client, a safeguarding concern, they were left exposed. Unclear. Unprotected.

They didn’t fail because of their practice.
They struggled because they didn’t have structure.

A Practical Step You Can Take Today:

Think back over the last 3–6 months. What’s one situation that made you feel uncertain, resentful, or unsure how to respond?

Ask yourself:
Would it have helped to have a sentence in writing to fall back on?

A boundary in a welcome pack.
A line about response times.
A policy about missed appointments.

Start there. That’s your next policy.
And it doesn’t have to sound like a solicitor wrote it, it just needs to sound like you.

Something To Reflect On:

What’s one thing you wish your clients just understood without you repeating it?

That’s not a personal failing.

That’s a communication gap you can close, with one clear, respectful agreement.

Policies aren’t barriers.
They’re bridges.
And clarity is kindness, for you, and for the people you serve.

If you’re running a people-first, soul-led practice and you don’t have anything written down yet, you’re not behind. But you are unprotected.  And you deserve better than that.
